Event Preparation Checklist for Digital Cleanup

  • Determine where employees will archive their sensitive files
    • Fileserver (preferred method of archiving sensitive digital files)
    • CD/DVD
    • USB drive with encryption capability
  • Purchase (if needed) storage media for archiving sensitive files (i.e. fileserver, CD/DVD, USB drives with encryption
  • The business manager should obtain a complete list of employees to use as a checklist to determine who participated and if their system contain sensitive data and if the employee will continue storing sensitive data, upon approval of the department head.
  • Purchase (if needed) a safe to securely store CDs & DVDs containing sensitive data.

Event Preparation Checklist for Document Cleanup

  • Start saving boxes for sensitive and confidential documents to be destroyed by Recycling. All boxes must be securely closed (i.e. taped securely) and labeled as sensitive/confidential.

Note: If you have from 1 to 9 boxes of sensitive and/or confidential data you must deliver those to Recycling on M, W, F (December 3, 5, 7, 10, 12, and 14) between the hours of 10:00 AM and 2:00 PM. They must have the box tops taped on securely and be labeled as Sensitive.

  • Schedule your pick up with Recycling as soon as you know you will have 10 or more boxes of sensitive data to be destroyed, fill out the form online for a pick-up appointment. Deadline for scheduling is December 14th for Early Bird Volunteers and January 31 for the 2008 Data Clean Up.
  • Purchase the required boxes and labels if employees plan to use the Library's off site archives & records management service to store sensitive and non sensitive documents that are taking up space in your building, but must be retained. For boxes and label specifications, see the Library's site for transferring records.
  • Schedule your pick up with the Library, arrange for a pick-up appointment as soon as you know you will be using their service. There is not a box limit when using this service.
  • Purchase a lockable file cabinet to store sensitive files that will be retained by the department.
